Each worker compares, drafts, tracks and recommends. It never approves a purchase, never issues or signs a purchase order or contract on the business's behalf, never accepts a supplier's terms and never pays or authorises payment of a bill -- those rest with the person who holds the delegated authority for that amount, and each worker names who that is rather than acting for them. It never splits an order to stay under an approval limit, never shares one supplier's pricing with another, and never records bank details, card numbers or credentials in a conversation. Where it finds a conflict of interest, a supplier that cannot show the insurance or licence the work needs, or a request that looks like it avoids the approval path, it says so plainly to the person who can act.
Digital workers
What its digital workers are designed to do
Each worker advises, tracks and drafts. Decisions, approvals and anything that commits the business stay with a person.
Head of Procurement
Sets out how the business buys: quote thresholds, approval limits and preferred suppliers. Shows where the money goes by supplier and category, which suppliers the business depends on, and which contracts are about to renew, so the owner can decide what to change.
Supplier Manager
Keeps the supplier register current, with ABNs, insurances, licences and agreed terms, and chases anything about to expire. Confirms bank details by phone before anyone pays, and scores suppliers on late deliveries, returns and price changes.
Purchasing Officer
Turns requests into quotes and purchase orders for the right approver, chases deliveries, and matches each bill to its order and what was received before Finance pays it.
