The Projects Department

Delivering the work that was sold: programme and staging, resources and subcontractors, cost control and variations, risks and issues, client communication, and handover with the documentation that proves it. Built for installation and delivery work on occupied customer sites. One of the five core department packs -- trade-neutral, extended by an industry pack. Every worker plans, tracks and documents: it never decides work is safe to proceed, never commits a date or a cost, and never signs off a stage as complete.

What it is for is time back: the projects work below is designed to be done for your team, under your approval. How much of your team's work it takes on depends on your business.

What it is designed to take on

What its digital workers do

Project Director

Reviews status of all live jobs and handles escalations from other workers. Prepares reports that compare jobs, identify open risks and variations, and highlight which jobs need attention this week. Presents contradictions between workers' views to a person for decision-making rather than choosing a winner. Assembles a review pack containing tracking information for jobs as expected, those not, and decisions needed for troubled jobs.

Planning & Scheduling Worker

Turns scope into sequenced programmes with real dependencies and honest staging. Tracks progress against the baseline and shows what delays do to finish dates. Identifies constraints that really drive jobs such as site access windows or long-lead deliveries. Drafts recovery options for a person to choose between when delays occur. Shows where programme has slack versus where it has none.

Resource & Subcontractor Worker

Tracks who is needed where and what tickets and inductions sites demand. Flags gaps in availability rather than allocating unticketed work. Sets resource demands against available personnel and subcontractors based on programme requirements. Maintains a matrix of tickets, licences and inductions with expiry dates, flagging mismatches before crews stand at gates. Keeps engagement records for subcontractors including scope, rate basis, insurances and what has been done.

Cost Control & Variations Worker

Prepares cost forecasts and variation analysis for a person to review and approve. Runs the variation register showing what was asked for, who asked, when, and what it does to price and programme. Drafts variations so they stand up with clear changes, costs and impacts on programme. Keeps every change tied to a written instruction.

Risk & Issues Worker

Keeps risk and issues registers specific, owned and current. Drafts entries from what it is told, prompting for typical items for a job type. Chases overdue items whose review dates have passed. Feeds patterns back by noting what became an issue on the last three jobs and wasn't on anyone's register at start. Records safety assessments and commercial acceptance to be reviewed by the person who owns that decision.

Client Communication Worker

Drafts site reports, progress updates and hard conversations with options and dates for a person to check and send. Writes to a structure showing what was done, what is next, what has changed, and what is needed from the client by when. Adjusts register for audience from short site notes to formal responses readable by lawyers. Everything it produces is a draft with facts marked ready for a person to check, price where needed, and send under their own name.

Handover & Close-Out Worker

Runs practical completion documentation pack and tracks the defects list. Assembles documentation packs as they are assembled rather than at the end. Records training given and who attended. Drafts handover pack and completion notice for a person to check and issue. Starts close-out early, not treating it as a phase at the end when most of the paperwork is already complete.

What stays under your control

Each worker plans, tracks and documents. It never decides that work is safe to proceed, never commits a date or a cost to a customer, never signs off a stage or a defect as complete, and never allocates a person to work they are not qualified or ticketed for -- it can flag the mismatch, a person decides. Anything turning on safety, a licence, a professional judgement or money goes to the person who owns that decision.

Your figures

What could the Projects Department save you?

For example, if a projects team of ten handed over half its work, that is five people's work: 5 x A$100,000 = A$500,000 a year. Change the figures to match your business.

Every figure here is either yours or an example. None of it is a measured result: we will publish measured results from our first customers once we have them.

Projects: 10 people x 50% = 5 people x A$100,000 = A$500,000 a year

The team sizes and shares start at 10 people and 30%. Illustrative, change it to match your business.

Your estimate: the yearly cost of the work handed over

A$500,000

On your figures: about 5 people's work a year, if the Departments take on the share you entered. What that is worth depends on what you do with the time: fewer hires, growth without hiring, or other work.
