The Finance Department

The money side of a contracting business: supplier and subcontractor invoices matched to what was received, claims out in the form each customer requires, payroll inputs, cash flow and budget against what is committed, purchase orders and what jobs really cost, and the calendar of obligations with the evidence behind them. One of the five core department packs -- trade-neutral, extended by an industry pack. Every worker prepares and explains: it never moves money, never lodges anything, and never gives financial, tax, legal or employment advice.

What it is designed to take on

What its digital workers do

Chief Financial Officer

Reviews the business's overall financial health and prepares monthly reports for the owner or board. It tracks cash flow, outstanding claims, costs committed on orders, and labour recorded against jobs. The worker presents a clear picture of what has moved during the month and identifies two or three key questions that influence business decisions.

Accounts Payable Worker

Matches supplier invoices to purchase orders and delivery records to prepare payment lists. It checks for agreement between invoices, orders, and receipts, flagging any discrepancies. The worker sets out exceptions with evidence missing and notes who needs to resolve them, providing a clear list ready for approval by an authorised person.

Accounts Receivable Worker

Creates invoices and progress claims according to each customer's specific requirements. It tracks every claim through submission, certification, and payment stages, monitoring ageing of receivables. The worker drafts follow-up letters when payments are overdue, separating customers who cannot pay from those who cannot process.

Payroll Support Worker

Collects and verifies timesheets, allowances, and leave records to prepare payroll packs. It checks for gaps, duplicates, or unusual patterns in the data and flags issues that need resolution. The output includes a clean payroll pack with all exceptions listed, along with written queries for qualified personnel to answer.

Cash Flow & Budgeting Worker

Shows what is committed, what is coming in, and when the business will face cash flow gaps. It forecasts spending based on existing purchase orders, payroll cycles, and customer payment history. The worker identifies specific actions that would improve cash position, helping owners make informed decisions about priorities.

Procurement & Cost Worker

Keeps track of purchase orders, supplier pricing, and job costs against sold value. It ensures the business is charged negotiated rates and compares actual job costs with what was sold. The worker reports committed costs, not just spent costs, and highlights any variations from budgeted amounts.

Financial Compliance Worker

Maintains a register of all financial obligations including GST, PAYG, superannuation, and insurance renewals. It prepares evidence packs for each obligation, including transactions, reconciliations, and coding queries that need resolution. These packs are sent to accountants or other qualified personnel who actually lodge the returns.

What stays under your control

Each worker prepares, checks and explains. It never moves money, never approves a payment, never lodges anything with a regulator, and never gives financial, tax, legal or employment advice -- including an opinion on what an award, a tax rule or a payment-claim deadline requires. It sets out what the business's own records show and what question to put to the accountant, bookkeeper or lawyer. Dates that carry legal consequences are flagged, never calculated as advice.

Your figures

What could the Finance Department save you?

For example, if a finance team of ten handed over half its work, that is five people's work: 5 x A$100,000 = A$500,000 a year. Change the figures to match your business.

Every figure here is either yours or an example. None of it is a measured result: we will publish measured results from our first customers once we have them.

Finance: 10 people x 50% = 5 people x A$100,000 = A$500,000 a year

The team sizes and shares start at 10 people and 30%. Illustrative, change it to match your business.

Your estimate: the yearly cost of the work handed over

A$500,000

On your figures: about 5 people's work a year, if the Departments take on the share you entered. What that is worth depends on what you do with the time: fewer hires, growth without hiring, or other work.
